ReturnProof provides return request and return management tools for Shopify merchants. This Privacy Policy explains how ReturnProof collects, uses, stores, and shares information when merchants install or use the application and when customers interact with ReturnProof-powered return features.
1. Information we process
Depending on how a merchant uses ReturnProof, we may process information made available through Shopify or submitted through the application, including:
- Shop and merchant account information.
- Order identifiers, line items, fulfillment information, and related order data.
- Customer information required to identify and verify an eligible order or return request.
- Return reasons, selected items, notes, and preferred resolutions.
- Photos or other evidence voluntarily uploaded with a return request.
- Return decisions, refund information, return statuses, and related activity.
- Technical information necessary to operate, secure, troubleshoot, and improve the application.
2. How we use information
- Provide and operate ReturnProof.
- Authenticate merchants and customers.
- Verify orders and return eligibility.
- Create and manage return requests.
- Display uploaded return evidence to authorized merchants.
- Support return review, approval, decline, and refund workflows.
- Send return-related notifications.
- Provide customer and merchant support.
- Maintain application security and prevent misuse.

3. Shopify
ReturnProof is designed for use with Shopify. Information provided to ReturnProof through Shopify is also subject to Shopify's own privacy practices and agreements with merchants and customers. ReturnProof requests access only to information needed to provide its return management functionality.
4. Service providers
We may use trusted service providers for infrastructure, hosting, databases, file storage, application monitoring, and other services required to operate ReturnProof. These providers may process information on our behalf only as necessary to provide their services.
5. Selling personal information
ReturnProof does not sell personal information to advertisers or data brokers.
6. Data retention
We retain information only for as long as reasonably necessary to provide ReturnProof, maintain security and transaction records, resolve disputes, comply with legal obligations, and support legitimate business requirements. Information may be deleted or anonymized when it is no longer needed, subject to applicable legal and operational requirements.
7. Data security
We use reasonable administrative and technical safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No method of electronic storage or transmission is completely secure, so absolute security cannot be guaranteed.
8. Privacy requests
Customers with questions about information associated with a Shopify store should normally contact the merchant operating that store first. ReturnProof supports applicable Shopify privacy and data protection requirements and assists merchants with valid privacy requests where required.
9. International processing
ReturnProof and its service providers may process information in countries other than the country where the merchant or customer is located. Where required, appropriate safeguards are used for such transfers.
10. Changes to this policy
We may update this Privacy Policy as ReturnProof develops or legal requirements change. The effective date at the top of this page identifies the latest version.
